You want to buy from China and you are choosing between two routes: ordering yourself on Alibaba, or working with a sourcing agent on the ground. There is no single right answer. It depends on what you buy, how much money is at stake and how much time you can spend. Here is how to decide.
Buying directly on Alibaba
What it gives you. You see many products and prices in minutes, you contact sellers directly and you pay no intermediary’s fee. For a small order or a first test, it is a good starting point.
What to keep in mind.
- Alibaba is a shop window, not a guarantee. A professional-looking listing does not stop a seller from being a trading company rather than a factory.
- Price gaps between suppliers often come from material, thickness, finish or packaging. One quote is not comparable with another until those points are written down.
- You handle company checks, samples, the contract, negotiation and the inspection before shipping yourself, often in a language and a time zone that are not yours.
- The platform’s protection schemes have conditions and limits. Read them before paying and do not treat them as insurance.
Working with a sourcing agent in China
What it gives you. Someone on the ground speaks the language, knows the factories, can visit them, compare quotes on equal terms, negotiate, follow production and inspect the goods before shipping.
What to keep in mind.
- An agent has to be paid: commission, fixed fees or a mix. Models vary widely. Ask for it in writing, with what is included and what is not.
- Agents are not all equal. Some also take a hidden margin on the supplier’s price: ask whether you see the factory price.
- A poor agent is one more middleman. Check their legal existence, their references and who is responsible if something goes wrong.
Five questions that decide
- How large is the order? For a few hundred dollars, an agent is not always worth it. The larger the amount, the more an error costs and the more sensible support becomes.
- Is the product simple or technical? A standard item is easy to compare. A custom, electrical, children’s or food-contact product needs checks that few buyers can do alone.
- Have you bought from China before? On a first order, a mistake on incoterms, certificates or transport can cost more than the fees.
- How much time can you spend? Searching, comparing, chasing and following a production takes weeks. That time has a value.
- Who will inspect the goods before they leave? If the answer is “nobody”, that is the main risk, with or without an agent.
An approach that often works
Many buyers combine both: they explore Alibaba to get a sense of products and prices, then ask someone on the ground to check the best suppliers, handle samples and inspect the goods before shipping. You keep the decision, and you reduce risk where it is highest.
Pitfalls to avoid, either way
- Paying into an account that is not the company’s (see our article on scam warning signs).
- Accepting an order with no written contract or precise specifications.
- Having nothing inspected before loading.
- Choosing on the lowest price alone.
